Privacy policy

1. Who we are

The motosport.kz website and the Motosport.kz project are run by All tyres LLP (ТОО «Все шины»), BIN 220540020522 ("we"). We are the controller of the personal data described in this policy.

Questions about personal data: info@motosport.kz.

This policy explains what data we receive when you:

• visit motosport.kz;
• message our Telegram bot @Motosportkz_bot, email an @motosport.kz address, or message us on WhatsApp at +7 702 210 7990;
• take part in competitions we report on.

2. What data we receive

When you visit the website

• Visit statistics via Google Analytics: pages viewed, where the visitor came from, device and browser type, approximate location based on the IP address. Google Analytics stores a cookie in your browser for this.
• Technical logs of our server and Cloudflare: IP address, request time, page address, browser details. We need them to run and protect the website.
• Settings in your browser: the language you chose (lang cookie, 1 year) and the colour theme. These settings stay on your device.
• The track map loads map images from OpenStreetMap servers, which receive your IP address.

When you message us

• The contact the message came from: WhatsApp phone number and profile name; Telegram name, @username and chat ID; email address and sender name.
• Message text, links, photos, files and the time sent.
• Anything else you choose to tell us in the conversation.

Please do not send ID documents, payment details or information about other people unless your request needs them.

Information about riders and teams

We publish information about competitions and their participants: first and last name, race number, class, team, country, year of birth, results and photos from competitions. Sources: official results and publications of organisers, federations and clubs, our own reporting, and information from participants themselves.

3. Why we use it

• To receive and review your message: an announcement, postponement or cancellation of a competition, results, information about a track, team or rider, or a question for the editors. To clarify details and reply to you.
• To check the information and publish it on the website. We never publish your contact details with it.
• To protect our inbox from spam and duplicates. For this we store a hash of the sender ID, not the ID itself.
• To maintain the calendar, results and championship standings.
• To understand which sections of the website are useful and improve it.

4. Where data is stored and who receives it

Our database of messages and contacts, editorial correspondence (Chatwoot) and automation system (n8n) run on servers in the Republic of Kazakhstan. Only editorial staff who need access for their work have it.

Some functions are performed by other companies' services. Their servers are outside Kazakhstan, so sharing data with them is a cross-border transfer. Each service receives only what it needs for its task.

An editor reviews the result of automatic parsing. A person decides what is published.

5. Legal basis

We process data with your consent. By messaging us through any channel, you agree to the processing of the data in section 2 for the purposes in section 3, including sharing it with the services in section 4. If you do not agree, do not send the message, or ask us to delete one you have already sent.

We take information about competitions and their participants from publicly available sources: official results and publications of organisers.

You can turn off statistics collection in your browser settings (block cookies) or with the Google Analytics Opt-out add-on.

6. How long we keep data

We keep the data from your message for as long as we need it to review the message and reply. We then delete or anonymise it unless the law requires us to keep it longer. The contact we use to tell you the outcome of your submission is kept for no more than 12 months.

Information that has become part of a publication (about a competition, track or results) stays on the website without your contact details.

Statistics retention is set in Google Analytics. Server technical logs are kept for a limited time.

7. Your rights

You can:

• find out what data we hold about you and how we use it;
• correct inaccurate information, including information about you as a competitor;
• ask us to delete your data or stop processing it;
• withdraw your consent.

Write to info@motosport.kz or through the channel you used to contact us. We will respond within the time limits set by the laws of the Republic of Kazakhstan. If you believe we are violating your rights, you can contact the authorised personal data protection body or a court.

Withdrawing consent does not stop processing that the law requires.

8. How to delete your data

1. Write to info@motosport.kz, or in the same WhatsApp or Telegram chat: "Delete my data".
2. Tell us how you contacted us: phone number, Telegram @username or email address, so we can find your messages.
3. We will delete the conversation, contact details and attachments from our systems and let you know. Information that has already become part of a publication will remain without your contact details; on request, we will correct or remove information about you.

Deleting the chat in WhatsApp or Telegram on your device does not delete the data we hold.

9. Security

Only authorised staff can access our administrative systems, and access is protected. Connections to the website and services are encrypted. Sender contacts are stored separately from message content.

10. Changes

If we change how we process data, we will update this page and the revision date at the top.
